October 22nd, 2011 General Membership Meeting @ 9:00 AM

Present: Teresa Smith, Jess Phifer, Kathy Phifer, Dale Cathey, Ken Walling, Wayne Rawlins, Tom Arlint, Dylan Ernst, Katrina Hansen-Lane, Shelley Santucci

Minutes: Ken W/Wayne R motion/second to approve Oregon CHA minutes from 8/12/11. The motion passed by majority vote of: 10 yes.

Financials: Teresa went over the financials. She stated all Oregon CHA produced show made a profit. Jamie will email out the BOD show breakdowns. There are a few outstanding accounts receivables, Jamie and Shelley will work on these.

Banquet: Kathy stated banquet went great but had a few issues that could result in an expense for

Lawless; Mark McNair will look into this and report back to Teresa.

Auction: The auction was a success raised $3,666.50. Jo stated she will have a few changes for next year. Jamie will send thank-you and tax receipts.

Awards: Great Awards. The aged event had 6 places for awards. There is a leftover NP Futurity buckle she has talked to the buckle company and they will change the year. All left over items have been sold.

NWAB: All Sponsored and Paid

Judges Committee: No-report

Aged Event: Teresa reported that the aged event was a success and profitable. A BIG thanks to all the individuals who donated their time to help.

Sponsorship/Added Money/Saddles: Great job on added money the board hit the mark needed to cover all the added money for the year. Jamie will send out the old sponsorship list and an updated 2012 sponsorship letter to the BOD.

Cascade Horseman: Teresa is working closely with the new editor at the Cascade Horseman. Kathy asked if the BOD list could be taken out after a couple of months to give more room for other items. Teresa will take care of this.

Wayne/Tom motion/second to close nominations on President Position with Teresa Smith for President and Wayne Rawlins for Vice President. The motion passed by majority vote of: 10 yes.

New Business
2012 Show Season – The 50,000 AM class has been added and moved the $3000 class to between the $15,000 NNP and $35,000NP. The board is looking into Brasada Ranch in Powell Butte in October for the finals show this facility will allow the banquet to be held onsite. Ken W/Jess P motion/second to hold three NWAB classes for the 2012 year due to lack of participation. The motion passed by majority vote of: 10 yes. The NWAB classes will be held at the June @ Cathey’s & August Lawless show and sweatshirts will to be given to all that participate to promote the class and the Association. The 500 rider class will also be awarding sweatshirts to participants who compete on both days at a show. Shelley/Ken W motion/second to hold the 500 rider class even if there are not 3 entries. The motion passed by majority vote of: 10 yes. Shelley/Tom motion/second to approve the proposed changes to the 2012 show schedule. The motion passed by majority vote of: 10 yes. Teresa reported Keith Kitchen will be holding 2 aged events one will be held prior to the April show the other will be in March. This was to be held prior to the March show but there was a conflict with an Idaho show. Teresa has asked a committee be formed to help set-up a show /hauling the equipment (i.e. banners, clock & PA) she is looking for volunteers please let her know if you are willing to help.

Added Money – Oregon CHA will be increasing the added money at the weekend shows and modified the entry fees.
$500 added – Open & NP
$400 added - $10,000N & $3,000N
$300 added - $15,000NNP, $50,000AM, $5,000 NNP
$200 added – Open Derby & NP Derby

Aged Event – Russ Elrod has volunteered to chair the 2012 aged event. The committee will be meeting and there will be more details to follow.

2012 Budget – Tom A/Jess P motion/second to approve the 2012 budget with changes incorporated. The motion passed by majority vote of: 10 yes. The items will be purchased, Office Printer, Wireless Clock/timer, & PA system. Rebekah Ernst will look into the price of a flag to report back to board for possible purchase.
